Use the "Manage actions" page

Actions in 15Five help your team stay on top of important tasks they need to complete and discussions they need to have. From the “Manage actions” page, leaders can create, manage, and track actions for their teams— streamlining task management and providing organization-wide clarity on priorities.

Assign bulk actions to managers

  1. Click Home in 15Five's main, left-hand navigation.

  2. Open the 'Manage actions' tab at the top of the page.

  3. Click Create bulk actions in the top, right-hand corner of the screen.

  4. Fill out the "Create bulk actions" form.

    First, select an action type.

    Available options are:

    • Action Item: Assign individuals a task to complete.
    • Complete Course: Assign individuals a course from Transform's on-demand course library.
    • Create Objective (Company, Group, Individual, or Self-Development): Assign when you want individuals to create an objective (e.g. at the beginning of each quarter).
    • Discussion: Assign a talking point that can be discussed in a 1-on-1s or async.
    Assignment
    • Assign action to managers: Select which managers are accountable for completing the action or discussion. Account admins can select from all managers in the organization and Managers can select from managers in their hierarchy.

    • Include direct reports (Optional): If managers' direct reports should be actively involved in the completion of the Action, check the box next to "Include direct reports as participants in this action."

    • Include in 1-on-1 agendas (Optional): If you included direct reports as participants in the action, you can check the box next to "Include in 1-on-1 agenda" to add the Action to current 1-on-1 agendas between the assigned managers and their direct reports. This helps keep the action top-of-mind for managers.

    • Hide from impacted person (Optional): If you included direct reports as participants in the action, you can check the box next to "Hide from impacted person" to mark it as private. Marking an Action as private means that only you and the owner will be able to see it.

      Tip

      This option is helpful when assigning sensitive Actions to managers, such as discussing performance issues with direct reports.

    • Summary: Use the Summary at the bottom of the form to see how many people you're assigning the action or discussion to.

    • Title of action: Select a title for the Action. The text provided here is how the action or discussion will appear on the homepage and 1-on-1 agenda (if applicable) of managers and, if the Action isn't marked as private, direct reports. However, managers can change the text of the action or discussion once it is assigned to them.

      You can also use the icons in the bottom, right-hand corner of the text field to mark the Action as private or add it to 1-on-1 agendas. Refer to the "Hide from impacted person" and "Include in 1-on-1 agendas" in the previous dropdown of this article for more information about these options.
    • Due date (Optional): If the action or discussion is time-sensitive, select the date you want people to complete it by.

    • Summary: Use the Summary at the bottom of the form to see how many people you're assigning the action or discussion to.

  5. When you're done, click Create actions.

  6. Once created, the actions will appear on manager homepages and 1-on-1 agendas (if applicable). If you selected the option to include direct reports as participants and didn't mark the Action as private to the owner, it will also appear on direct reports' homepages and 1-on-1 agendas.

  7. If at any point you want to view, edit, or delete an action, you can do so by following these steps.

Assign actions to individuals

  1. Click Home in 15Five's main, left-hand navigation.

  2. Open the 'Manage actions' tab at the top of the page.

  3. Click +Create Action.

  4. Type your action or discussion. This text field supports rich-text formatting.

  5. Select an Action type. Your options here are action or discussion.

    As a reminder, actions are tasks that a person needs to complete and discussions are important topics that a person needs to reflect on or collaborate with their team on. Read more about the types of actions in 15Five.
  6. Customize your Action. Customize the action or discussion using the options below.
    Assign an owner and impacted person

    Click the + icon in the bottom, right-hand corner of the action box to select an owner and, optionally, an impacted person (i.e. a person who is involved in the completion of the action or discussion). The Action will appear on the Actions List of the owner. Unless you mark the Action as private, it will also appear on the Actions List of the impacted person.

    Select a due date

    Click the calendar icon to set a date for when the Action should be completed/resolved.

    Mark the Action as private

    To mark the action or discussion as private, click the lock icon. Marking an action as private means that only you will be able to see it, even if you've assigned an owner or impacted person.

    Add the Action to 1-on-1 agendas

    If desired, add the action or discussion to the 1-on-1 agenda for the owner and impacted person by clicking the dialogue box icon. Actions will be added as action items in the 1-on-1 agenda and discussions will be added as talking points. This option will not be available when an impacted person isn't assigned, as 1-on-1s require two participants.

    Add an attachment

    To add an attachment to an Action, click the paperclip icon and select the file from your computer.

  7. Save the Action. Once you're done, click Enter on your keyboard to save the Action. You'll see a notification on the screen informing you that the Action was created.

  8. At this point, the Action will appear in the Actions List of the owner and impacted person (unless you marked it as private). If you opted to add the action or discussion to their 1-on-1 agenda, it will also appear there.

  9. If at any point you want to view, edit, or delete an action, you can do so by following these steps.

Track the progress of actions

Once you create an action (bulk or one-off), it will appear in your Manage Actions list. From here, you use filtering options to stay on top of the progress of actions.

Note

If you’re an Account admin, your Manage Actions list will contain all actions created for others, whether one-off or in bulk. Managers will only see actions they’ve created.

  3. Use filtering options at the top of the page to organize your actions list. You can use 15Five’s quick filters, or click Show filters to customize your view.

  4. To see which actions are at risk, filter "Due date" by "This week" or "Next week."

  5. To see which actions are overdue, use the "Past due" Quick filter.
