Manage an active Performance Improvement Plan

After a PIP is published, HR and managers track progress, log activity, and ultimately close the plan with an outcome. This article covers the ongoing management of an active PIP.

Track progress

HR and managers can monitor a plan's health to ensure the employee is meeting the required standards.

  1. Navigate to "Growth Studio" in the left sidebar and click on "Plans."
  2. Select the PIP from the plans list.
  3. Review action item status updates and milestone progress.

PIP action items also appear in the employee's Check-in. Employees can update status directly from their Check-in without opening the full plan


Activity log and Notes

HR and managers can log activity and notes throughout the PIP period.

  1. Open the active PIP.
  2. Scroll down to the "Notes" section.
  3. Enter your notes and click "Save".

Active PIPs are also linked in 1-on-1 agendas so managers and employees can discuss progress during their regular meetings.


Actions & Milestones

Progress is tracked through specific action items and milestones. Visibility and permissions for these items depend on a user’s role:

  • Admin/HR View: Admins have full visibility into all sections of the PIP. They can see all action items, milestones, and progress across the organization.

  • Manager Actions: Managers can monitor progress and view status updates. Depending on the settings configured by HR during creation, managers may also be able to update specific action items or milestones for their direct reports.

  • Employee Actions: Employees can view milestones and update the status of their assigned action items. To make progress tracking easier, these action items also appear directly in the employee’s weekly Check-in, allowing them to provide updates without navigating away from their routine workflow.


Audit Log

If a PIP needs to be modified after it has been published and started, the system ensures no confusion occurs during the transition.

  • What is captured: Every single action taken within a PIP—including status changes, added notes, and edits to the plan's structure—is automatically recorded.
  • Details: Each log entry is timestamped and identifies the specific user (actor) who performed the action. This ensures a transparent, "compliance-ready" history of the performance process.

Pause to Make Edits

If a PIP needs to be modified after it has been published and started, the system ensures no confusion occurs during the transition.

  • Automatic Pause: When HR initiates an edit on an active PIP, the plan enters a Paused state.

  • Employee Impact: While paused, the plan becomes view-only for the employee. They cannot update action items or interact with the plan until HR finishes the edits and re-publishes.

  • Re-acknowledgment: Once edits are finalized, employees are prompted to review and digitally sign the updated plan, ensuring they are always aligned with the latest expectations.


Extending a PIP

If an employee needs more time to meet the goals of the plan, HR can choose to extend the PIP.

  1. At the bottom of a PIP, click on the 3 dots.
  2. Select "Extend".
