Schedule a group coaching session using coaching hub

Group coaching is a partnership between a cohort of managers and one of 15Five’s certified coaches, focused on helping the group process their experiences, share learnings, identify opportunities, and create collective accountability for growth and development. Account admins can assign group coaching sessions to managers in the coaching hub. In this article, we'll walk managers through how to schedule an assigned group coaching session.

If your organization purchased group coaching after October 2024, you can assign and schedule group coaching sessions using Action Plans.


How to schedule a coaching session 📅

Engagement and Organization Admins can schedule group coaching sessions, as well as designated schedulers.

Admin Designated Scheduler
  1. Click on Training & Coaching in 15Five's main, left-hand navigation, then select "Coaching Hub."

  2. You'll be taken to the 'Manage Sessions' page of Coaching Hub. All coaching sessions that have been assigned will be listed on this page. Sessions that haven't been scheduled will appear at the top of the list, then the remaining sessions will be ordered chronologically by the scheduled date. If your company purchased a coaching series that includes multiple sessions, they will appear with a number beside them that tells you what session in that series it refers to.
  3. Click Schedule next to the session you want to schedule.
  4. A calendar will appear where you can find the times when the session facilitator is available to meet. Select a time, then submit.
  5. Your session is now scheduled.

How to reschedule a session 📝

Sessions that have a 'Scheduled' status can be rescheduled. Click the pencil icon next to the session date. This will open the calendar to select a new time to meet with the session facilitator.

Participant experience 🧑‍💻

Participants can see assigned sessions on the 'My sessions' page. Once the session is scheduled, they can add it to their personal calendar and will get email reminders before their session begins.

What happens next? ➡️

Once a session is scheduled, participants will receive an email notification alerting them of the date that the session will take place. Participants will also receive reminder emails a week before the session and 24 hours before the session.

Coaching sessions expire based on when they should be redeemed (30 days after the invite goes out), meaning that the last session in a coaching series won't expire until the end of the contract time. Engagement and Organization admins will receive a reminder email before a coaching session expires.
