👥 Engagement Admins, Organization Admins with 'Manage Coaching' permissions, and Designated Schedulers have the ability to schedule coaching sessions.
Once you've assigned coaching sessions to participants, those sessions can be scheduled.

Schedule a coaching session
Schedule a session as an Admin
- Click on Training & Coaching in 15Five's main, left-hand navigation and then select Coaching Hub from the dropdown options.
- You'll be taken to the 'Manage Sessions' page of Coaching Hub. All coaching sessions that have been assigned will be listed on this page. Sessions that haven't been scheduled will appear at the top of the list, then remaining sessions will be ordered chronologically by the scheduled date. If your company purchased a coaching series that includes multiple sessions, they will appear with a number beside them that tells you what session in that series it refers to.
- Click Schedule next to the session you want to schedule.
- A calendar will appear where you can find the times when the session facilitator is available to meet. Select a time, then submit.
- Your session is now scheduled.
Schedule a session as a Designated Scheduler
If the admin that assigned participants to a coaching session elected to assign a participant as the designated scheduler, that participant will be notified by email that they have a session to schedule. Designated schedulers can schedule a session by following the steps below.
- Click on Training & Coaching in 15Five's main, left-hand navigation and then select Coaching Hub from the dropdown options.
- You'll be taken to the 'My Sessions' page. From here, click Schedule next to the session you want to schedule.
- A calendar will appear where you can find the times when the session facilitator is available to meet. Select a time, then submit.
- Your session is now scheduled.
Reschedule a session
Sessions that have a 'Scheduled' status can be rescheduled. Click the pencil icon next to the session date. This will open the calendar to select a new time to meet with the session facilitator.
Participant experience
Participants will be able to see assigned sessions on the 'My sessions' page. One the session is scheduled, they can add it to their personal calendar and will get email reminders before their session begins.
What's next?
Once a session is scheduled, participants will receive an email notification alerting them of the date that session will take place on. Participants will also receive reminder emails a week prior to the session and 24 hours prior to the session.
Coaching sessions expire based on when they should be redeemed (30 days after the invite goes out), meaning that the last session in a coaching series won't expire until the end of the contract time. Engagement and Organization admins will receive a reminder email before a coaching sessions expires.
