As your organization rolls out 15Five, it's helpful to identify a small group of stakeholders to help set up and customize your account: your core implementation team. These people will work together to ensure that settings and features are configured in a way that sets your organization up for success through roll-out and beyond. They'll also help announce 15Five to your team and add people to the platform.
In this article, you will learn...
- Basic responsibilities of the core implementation team
- Who to include in your core implementation team
- How to invite your core implementation team to 15Five
Core implementation team responsibilities
The basic responsibilities of the core implementation team include:
- Determining your company’s goals with 15Five,
- Configuring company settings,
- Configuring, enabling, and disabling core features,
- Communicating 15Five to your team,
- Adding employees to 15Five, and
- Setting up integrations.
Who to include in your core implementation team
The core implementation team typically consists of 1-3 people from the HR team or adjacent teams who will oversee the implementation. Representatives from the following groups may be included in your core implementation team:
- HR Business Partners or HRIS specialists who oversee the project and technical components,
- An HR Leader who oversees the strategy,
- An Operations or Strategy team that may be involved with OKRs or other strategic pieces of the 15Five rollout, and
- An IT Team member for integrations or anything technical in nature.
Employees in groups 1-3 above will be responsible for configuring settings and making sure the platform is ready to launch. Group 2 is there to ensure this strategy aligns with the business strategy and to get executive buy-in, and Group 4 is mostly “on-call” to set up any integrations or troubleshoot employee data.
Invite your core implementation team
Follow the steps below to add members of your implementation team to 15Five manually, either one-off or in bulk.
Note
Even if you plan to use an integration to add company users to 15Five, we suggest adding your core implementation team using one of the methods laid out below. As long as an employee's identifier (email or employee ID) in 15Five matches that information in your HRIS or IdP, the data from the integration will successfully map to their profile in 15Five once enabled.
- Click the 'Settings' gear in the top right-hand corner of 15Five.
- Select 'People' from the dropdown menu to open the 'Manage people' page.
- Click Add a person in the top, right-hand corner of the page.
- Use the form to fill in details for the individual you want to add to 15Five. The only required fields are 'First name', 'Last name', and 'Email'.
- Make sure the 'Start date' field is set to today's date, or empty.
- In the 'Permissions' section, check the box next to "Account administrator" to ensure that the person you're adding has the proper permissions to manage company settings.
- Make sure the 'Send invite email' box is checked.
- Confirm user settings, then click Save or Save and add another.
- Click the 'Settings' gear in the top right-hand corner of 15Five.
- Select 'People' from the dropdown menu to open the 'Manage people' page.
- Click to open the 'Import' tab in the top navigation bar.
- You are now on the bulk import page. This page includes a table of all fields that can be managed via CSV. Please read these, as well as the formatting rules outlined under "Use the example below as a guide while following a few simple rules", in full before creating your bulk import CSV, as they contain important information regarding what to include and how to format each column. If you have any questions about specific columns, please refer to the FAQs section of our "Bulk import or update people" article.
- Create your bulk import CSV. The only required field is email address, but if you'd like to add other important data to 15Five during your initial import you can access a lightweight bulk import template here. If you'd like to go ahead and import all data for members of the core implementation team, you can use this full bulk import template. Once you open either of these templates, download a copy by navigating to File > Download > .csv. Be sure to delete rows 2 and 3 before importing the CSV file to 15Five.
- Make sure that the Employee Identifier (employee ID or employee email) at the bottom of the page aligns with the Employee Identifier you used in the CSV file. If not, you can update it in Company Settings > Import Settings.
- Then, click Choose file at the bottom of the screen and find the CSV from your computer that you would like to import. Please note: the file must be in UTF-8 CSV format.
- Once you have selected the file that you want to import, a 'Preview import' screen will appear. Review the changes to be made. If the changes aren't what you want, click the Start over button in the bottom, left-hand corner of the page to stop the import and be redirected back to the bulk import page.
- If you want new users to receive an invite email, check the box next to "Send invite email to all in bulk import." You can change the subject and body of the invite email in the 'Invite settings' section of the Company settings page.
Note
People who are added via bulk import with the "Send invite email" box checked will appear on the 'Manage people: Inactive' page under "Pending invitations". "Pending" means that an invite email has been sent but not yet accepted, or that an invite email will be sent to the person on their start date. People who are added via bulk import without the "Send invite email" box checked will appear on the 'Manage people: Inactive' page under "Created people". "Created" means that an invite email has not been sent and is not scheduled to be sent. You will need to manually invite these people by clicking the Send invitation button next to their name when you're ready for them to be invited to 15Five.
- Click Finish import.
- Once the import is complete, your core implementation team will appear in the 'Inactive' tab of the "Manage people" page.
From here, you should make these individuals Account admins so they have the ability to configure company settings.
- Click on the name of the individual you want to make an account admin to open their account settings.
- Scroll to the 'Permissions' section and check the box next to "Account administrator."
- Click Save at the bottom of the page.
- Repeat this process for each member of your core implementation team.
