Manage settings for System Groups (Tenure, Generation, and Hire Cohort)

System Groups are a Group Type in Engage that consists of three groups— Tenure, Generation, and Hire Cohort— that populate automatically based on data in employee settings. In this article, we'll walk through how to manage settings for System Groups.

Manage system group settings

  1. Click on Engagement in 15Five's main, left-hand navigation.

  2. [HR Admins only] You'll land on the Engagement Overview page in 15Five. From here, click Go to Engage to open the Engage Portal.

  3. Click on the Settings gear in the top, right-hand corner of the Engage Portal and select 'Settings' from the dropdown menu.

  4. Click on the 'Group management' tab using the top navigation.

  5. Open the 'System' tab.

  6. Use the sections below to manage Tenure, Generation, and Hire Cohort groups.
    Tenure groups

    Tenure groups are populated and created based on employees' hire/start date with your organization. As employees stay with the organization, they will move into different tenure bands. Including this group type in results allows you to view engagement results based on how long employees have been at your organization.

    1. Include Tenure groups in engagement results by toggling on the button under "Include in results." Learn more about including groups in engagement results.

    2. Click the Manage button next to "Tenure" to view and adjust the tenure bands.

    3. Your tenure bands will appear on this page.

    4. From here, you can customize the name, duration, and range of tenure groups.
      • Name: The name column is how the group will be displayed in the assessment results. As an example, this can be updated to 0-1 year, 1-2 years, etc.
      • Duration: The duration column is where you can set what dates will be included in that group. The duration is calculated from the end date of the assessment. The duration build on the group before it. In the example above, the first row will create a group for any employee who has a hire date between today and one year ago. The second row will create a group for any employee who has a hire date between one - two years ago.
      • Range: The range column reflects the time range that will be included based on what is set in the duration column.
    5. If you want to include additional tenure bands, you can use the Add New button to add a new group. New tenure groups will be added to the bottom of the list.

    6. You can delete a tenure group option by clicking Delete next to the bottom group.

    Hire Cohort groups

    Hire Cohort groups are calculated from the employee's hire/start date with your organization and determined by set date ranges. Unlike tenure groups, employees will stay in the same hire cohort group from survey to survey. Including this group type in results allows you to view engagement results based on when employees were hired/onboarded at your organization.

    1. Include Hire Cohort groups in engagement results by toggling on the button under "Include in results." Learn more about including groups in engagement results.

    2. Click the Manage button next to "Hire Cohort" to view and adjust the Hire Cohort bands.

    3. Click Add New to create a new Hire Cohort group.

      To adjust the date ranges for a group, adjust the End Date to reflect the end of the timeframe for the group. Next, select the Start Date for the group. You can then add a label for the group in the Name column.

    4. To delete a group, click the trashcan icon to its right.

    Generation groups

    Generation groups are populated based on employees' birthdates and contain employees from different generations. Including this group type in results allows you to view engagement results based on generation.

    1. Include Generation groups in engagement results by toggling on the button under "Include in results." Learn more about including groups in engagement results.

    2. Click View next to "Generation" to see how many employees are in each generation.
    3. The following birth years define each generation:
