Check-ins: Submitted & Reviewed reports

From Reporting in 15Five, you can get insight into how your people are engaging with Check-ins, including Pulse information, Submission and Reviewed rates, Priorities reports, and more. Each of these reports allows you to understand and take a closer look into the data behind your company's usage of Check-ins—the heart of 15Five. This article will give you a closer look at the Submitted and Reviewed reports for your people.

Only account administrators and reviewers can see Check-in reports.


Submitted Check-ins report

What is the Submitted Check-ins report?

The Submitted Check-ins report allows you to measure what percentage of Check-ins in your company have been submitted. You can filter the report by People (groups or individuals), reporting frequency, and/or time frame.

Fields included in this report are:

  • Name
  • Reviewer
  • Check-ins submitted: total number submitted out of the number created for the individual or group.
  • Submitted rate: percentage of Check-ins submitted by the individual or group
  • Check-ins reviewed: total number of Check-ins reviewed out of the number submitted for the individual or group
  • Reviewed rate: percentage of Check-ins reviewed for the individual or group
  • Submitted on time: percentage of Check-ins submitted on or before their due date
  • Last submitted: last date that a Check-in was submitted by an individual (not available on group view)
  • Due day: day of the week that the individual’s Check-in is due (not available on group view)
  • Check-in frequency: frequency that the each Check-in is due (weekly, every other week or monthly)
  • Avg pulse: average pulse of the individual or members of the group
  • Last seen: last time the individual was active in 15Five (not available on group view)

Pull a Submitted Check-ins report

1. Click on Reporting from the left navigation.

2. Click on 'Check-ins'.

3. Then click the 'Submitted Check-ins' tab.

4. Select the criteria you would like to see a report on: People (by individuals, groups, or group types), Check-in frequency, Time frame.

Tip

First, filter by a group such as Sales in the 'People' drop-down. Once you're in a report, change the 'View by' filter to Locations to get insight into how Sales teams are performing by location for example. (Sales and Locations are examples of groups/group types from a fictional account.) You can also use the 'View by' filter to view how groups, teams, departments, group types are doing at submitting their Check-ins. 

5. Decide if you want to include submitted Check-ins for the current week in your report. If you do, check the 'Include active Check-in data' checkbox. This will not pull in draft Check-in information; only submitted Check-ins.

6. To download the report you are viewing, find the Download button in the top right of your page.

7. The optional download fields will appear in a pop-up window, like this. Choose the fields that you want to include in your download.

8. Click Download CSV or XLSX.

Use drawers to understand the metrics

Click on any individual’s row in a Submitted Check-ins report, a drawer will open on the right of your screen and you’ll see:

  • Reporter's name and reviewer's name
  • All Check-ins that fall into the timeframe selected and whether those Check-ins were submitted or not
  • Hover over any green checkmark to see when the Check-in was submitted, if the Check-in was skipped for vacation, and even if they started a draft without submitting
  • Reviewed status of included Check-ins, including if the reviewer started reviewing without marking as reviewed
  • Options to contact (via custom email) the reporter or their reviewer

This drawer enables you to personalize your communication when contacting reporters. Having a better understanding of submission trends allows reviewers and account administrators to assist each person in overcoming their submission roadblocks. 

Contact individuals from within the report

If you would like to contact people from this report, select the people who should be contacted and click the Contact button in the top right of the 'Individuals' (or 'Groups') box.

You can also contact reporters in the drawer shown in the section above.

Fill in the text box. The content in this box is what will be included in the email to your selected reporters. Then click Send email.

Usage dashboard tips to help drive engagement

  • Get usage for the year or last 3 months to see who is submitting Check-ins and who is reviewing those Check-ins.
  • See how managers' participation impacts and influences team Check-in submissions.
  • Keep on top of engagement to see your top submitters and to catch anyone that may be dropping off on their submissions.
  • Export data and see streaks so you can leverage this information to get more engagement.
  • Reach out to the groups or individuals with the highest number of streaks to understand the value they get out of Check-ins then share that with the teams who are not using Check-ins.
  • Sort by "last submitted on" and then contact people who haven't submitted in over a month. See team members who have never submitted to help get them to use the tool.

Reviewed Check-ins report

What is the Reviewed Check-ins report?

The Reviewed Check-ins report allows you to measure what percentage of submitted Check-ins have been reviewed. You can filter the report by People (groups or individuals), Check-in frequency, and/or time frame.

Fields included in this report are:

  • Reviewer name
  • # of direct reports: number of direct reports that the reviewer has (if the number has changed during the selected time frame we take the latest available number)
  • Check-ins reviewed: total number of Check-ins reviewed out of the number submitted by the individual or group
  • Reviewed rate: percentage of Check-ins reviewed by the individual or group
  • Check-ins submitted by team: total number submitted out of the number created by the individual’s or group’s direct reports.
  • Submit rate: percentage of Check-ins submitted by the individual’s or group’s direct reports
  • Check-ins with comments: percentage of Check-ins reviewed with at least one comment
  • Check-ins with likes: percentage of Check-ins reviewed with at least one like
  • Check-ins incomplete: number of Check-ins that the reviewer has started reviewing, but have not been 'Marked as Reviewed' (Reviewer needs to take additional action.)
  • Avg time to review: average time it takes for reviewer to mark the Check-in as reviewed after the submitted date
  • Avg team pulse: average pulse of the reviewer's direct reports
  • Last seen: last time the reviewer was active in 15Five (not available on group view)

Check-ins are unreviewed and counted as such as soon as they are submitted.

Pull a Reviewed Check-ins report

1. Click on Reporting from the left navigation.

Note

The 'People' filter on the Reviewed Check-ins report allows you to search for a specific reviewer and see their reviewed Check-in stats. If I want to know how Larisa is doing at reviewing her direct reports' Check-ins, I would search for Larisa in the 'People' filter. Similarly, if I want to know how Larisa's hierarchy is doing at reviewing all of their direct reports' Check-ins, I could search for Larisa's hierarchy. Any of Larisa's direct reports who are also reviewers will appear in the reporting with their reviewed stats.

5. Decide if you want to include reviewed Check-ins for the current period in your report. If you do, check the 'Include active Check-in data' checkbox. This will not pull review information for any draft Check-ins; only submitted Check-ins count towards reviewed numbers.

Tip

View by any group type (teams, departments, divisions, etc) to get different insights for an entire group.

You can sort any column in ascending or descending order by clicking the grey arrows to the right of the column header.

6. To download the report you are viewing, find the Download button in the top right of your page.
