Check-in frequency settings — overview

Check-in frequency settings control how often 15Five generates Check-ins for each person in your organization. Account Admins can set frequency at the company, group, or individual level.

How frequency settings work

15Five applies frequency settings using a four-tier priority hierarchy. When a person has settings at multiple levels, the highest-priority setting wins.

Priority Setting Applies when…
1 (highest) Individual frequency A custom frequency is set directly on the person’s account
2 Single group frequency The person belongs to one group with a custom frequency
3 Multiple group frequency The person belongs to multiple groups with custom frequencies — the most frequent cadence applies (e.g., Weekly overrides Monthly)
4 (lowest) Company default No individual or group frequency is set
Note: The system default is weekly, due on Fridays. If no custom frequency is configured at any level, this default applies.

Frequency options

Every level supports three cadences:

  • Weekly — one Check-in per week
  • Every other week — one Check-in every two weeks (Odd: 1st and 3rd weeks; Even: 2nd and 4th weeks)
  • Monthly — one Check-in per month

Section-level frequency

Within a Check-in, the Pulse, Priorities, and Objectives sections can each be set to appear at a different cadence than the Check-in itself.

  • When set to monthly, a section appears on the first Check-in of the month.
  • When set to bi-weekly, a section appears on the first and third week of each month.
Important: Section frequency changes do not apply to Check-ins that have already been generated.

When to change frequency

Only change Check-in frequency at the start of a new Check-in period. Changing frequency mid-period can cause duplicate or missing Check-ins. If that occurs, contact 15Five Support.

Key Rules

  • Individual frequency settings always override group and company settings.
  • When a person belongs to multiple groups with different frequencies, the most frequent cadence applies.
  • Frequency changes do not retroactively affect already-generated Check-ins.
  • This feature is available on the Perform, Focus, and Total Platform pricing packages.

What if I need a different cadence?

15Five supports weekly, every-other-week, and monthly Check-in cadences. Daily or custom-interval Check-ins are not available.

If your team needs a more frequent touchpoint than weekly, you can build a daily or custom accountability rhythm by combining other 15Five features alongside your Check-in schedule:

  • Actions for daily tracking: Create recurring Actions with daily due dates to capture activity updates, commitments, or progress reports from team members. Managers can monitor completion from the Manage actions tab.
  • 1-on-1s for accountability reviews: Schedule recurring 1-on-1 meetings at whatever cadence fits your team to review daily actions and discuss progress.
  • Check-ins for structured weekly reflection: Keep the weekly Check-in as the anchor for deeper reflection, Pulse scores, Priorities, and Objective updates.

This approach lets you run a high-frequency accountability loop through Actions and 1-on-1s while preserving the weekly Check-in for structured reporting.
