Access and edit settings for a review cycle
Note
Edits can only be made to a review cycle prior to its end date. If you'd like to make edits to a review cycle that's end date has already passed, you must first extend the review cycle.
- Click on Best-Self Review® in the left-hand navigation of 15Five.
- You will land on the Best-Self Review® dashboard. From here, locate the review cycle you want to edit settings for under "Active review cycles". Click '...' next to the review cycle, then select 'Edit review cycle' from the dropdown menu.
- From the 'Review cycle settings' page, you can click Edit next to any setting that needs to be changed. If there is no Edit option to the right, that setting cannot be changed once a cycle has started.
What review settings can I edit?
Below are the review cycle settings that review admins and cycle collaborators have the ability to edit in an active review cycle.
You can change the name of a review cycle.
You can edit which performance ratings formula and/or rubric are being used in the cycle up until the first review is submitted. Once a review is submitted, you cannot edit these options. In this section you can also edit ratings visibility— that is, whether or not review cycle participants can see their performance rating once review cycle results are shared.
You can change the frequency of a review cycle (quarterly, semi-annually, one-time only).
You can update the due dates of reviews and cycle deadlines. But beware— if the dates are moved out more than 3 days, there is a good chance that reminder emails will be sent out again. Check out our "Email notifications for a review cycle" Help Center article for more information about what notifications go out during a review cycle.
Within the 'Review milestones' section, you can either check or uncheck the box next to "Include calibration sessions in this review cycle." Calibrations can be turned on until the 'Start sharing on' milestone. Calibrations can be turned off until at least one calibration session has been locked.
You can change the types of objectives (company, group, and/or individual) and the timeframe of objectives that are included.
You can change the visibility of review answers (basic vs hierarchy). Basic visibility means that review answers can be viewed by the participants, their manager, cycle collaborators, and review admins. Hierarchy visibility means that review answers can be viewed by the participants, their manager, anyone above their manager, cycle collaborators, and review admins.
You can change visibility into the private manager assessment questions and answers for the participant and/or their hierarchy. Check out our "Changing visibility settings for private manager assessment" Help Center article for more information on updating this setting.
You can adjust the minimum and maximum number of peers that can be nominated.
You can update the auto-approve setting regarding managers/cycle collaborators approving peer nominations. Options are 1) auto-approve peer nominations for participants if the nominations are made past the approval date and 2) always require manual approval - even if the approve by date has passed.
What review settings can't I edit?
Below are the review cycle settings that review admins and cycle collaborators do not have the ability to edit in an active review cycle.
Review cycle type
You can not change what types of reviews (self, manager, peer, and upward) are included in a review cycle.
You can't change the question templates that are being used in the review cycle. If you see an error in a question that appears on your review cycle and would like for it to be corrected, please reach out to our Support Team for assistance.
Once the first review is submitted, you can't change the Performance ratings formula or rubric being used. You also can't adjust the Rating visibility (i.e. whether or not review cycle participants have visibility into their own performance rating upon reviews being shared with them) once a review cycle has been launched.
To protect psychological safety for your team, it is not possible to change transparency for peer reviews in an active cycle in-app. Reason being, peers may have already written reviews with the understanding that their reviews will be anonymous to their peer(s). If you're interested in decreasing transparency (i.e. going from full transparency to no transparency), please reach out to our Support Team for assistance.
To protect psychological safety for your team, it is not possible to change transparency for upward reviews in an active cycle in-app. Reason being, direct reports may have already written reviews with the understanding that their reviews will be anonymous to their manager. If you're interested in decreasing transparency (i.e. going from full transparency to no transparency), please reach out to our Support Team for assistance.
