Assign roles and results access in Engagement

There are two kinds of access in 15Five's Engagement feature: 1) role, which determines access to the Engage Portal, and 2) results access level, which determines access to engagement survey results). In this article, we'll walk through the available roles and results access levels, as well as how to assign and view roles and results access.

Engagement roles and results access levels

Roles

A person's role determines their access to the Engage Portal. There are four roles in Engagement: Employee, Leader, Organization Admin, and Engagement Admin.

Note

If your organization has the 15Five/Engage integration set up, all employees will see the Engagement feature in 15Five's main, left-hand navigation and will be able to access the Engage Portal even if they are assigned as an employee in Engagement. They are automatically assigned as a leader with no results access when they sign in this way.

Employee

Employees do not have access to the Engage Portal or engagement survey results. Employees can be survey participants. By default, any individual contributor in 15Five is assigned as an employee in Engage.

Leader Leaders have access to the Engage Portal, and may or may not have results access depending on their assigned access level. By default, any manager in 15Five is assigned as a leader in Engage.
Organization Admin Organization Admins have access to the Engage Portal, and may or may not have results access depending on their assigned access level. They can adjust feature settings and employee and group data. By default, any account admin in 15Five is assigned as an Organization Admin in Engage.
Engagement Admin Engagement Admins have access to the Engage Portal and full results access. Engagement Admins have the same abilities as Organization Admins, plus the ability to create and manage campaigns.

Results access levels

A person's results access level determines their access to engagement survey results. There are three results access levels: full, limited, and none.

Full Access Employees with full results access have full visibility into company-wide results and details for all groups.
Limited Access Employees with limited results access will only see assessment results, feedback, and actions for the groups they have access to.
None Employees with no results access cannot see results.

Assign roles and access levels

  1. Click on the Settings gear in the top, right-hand corner of the Engage Portal and select 'Settings' from the dropdown menu.

  2. You're now in the 'Employee' settings tab. From here, click View to the right of the employee whose role/access level you want to change.

  3. Scroll down to the "Access to Engage" section of the employee's settings page and select the appropriate role from the dropdown list (Employee, Leader, Organization Admin, or Engagement Admin).

  4. If the person is a Leader or Organization Admin, you can customize their access level (None, Limited Access, or Full Access).

  5. If you select "Limited access", you'll be asked to select the groups this individual will have results access for. Begin by selecting the segment type (the group type in 15Five), then choose the segment value (the group within the group type). Once selected, the group will be listed under "Viewable groups". Repeat this process to add additional viewable groups.

    Note

    If the "Results Access" option in Organization settings is toggled on, all Leaders will have access to results for their hierarchies. They do not need to be manually assigned visibility into these individuals.


View employee roles and results access

Follow the steps below to see a full overview of which employees have results access and for whom. Use this process to ensure that the right people have the right permissions.

  1. Click on the Settings gear in the top, right-hand corner of the Engage Portal and select 'Settings' from the dropdown menu.

  2. You're now in the 'Employee' settings tab. From here, use the top navigation to open the 'Access' tab.

  3. This list shows you all employees with Leader, Organization Admin, and Engagement Admin roles, as well as their level of results access.

  4. Use the filter in the top, right-hand corner of the page to view specific roles.
