Overview and capabilities

15Five's HRIS Connector is a software integration that connects a company's HRIS (Human Resources Information System) to 15Five. The purpose of an HRIS connector is to allow employee data to flow from your HRIS provider to 15Five, enabling real-time employee data synchronization and automatic updates. This eliminates the need for manual data entry and reduces the risk of errors that can occur when data is entered multiple times into different systems.

Authenticate, Set up, and Configure your HRIS

This section walks through how to authenticate, set up, and configure the HRIS Connector.

Authentication and Setup Configuration

While the screenshots below show an integration with BambooHR, each HRIS follows similar authentication instructions.

  1. Click on the 'Settings' gear in the top, right-hand corner of 15Five.

  2. Select 'HRIS Connector' from the dropdown menu.

  3. You'll be taken to the connector page to select your HRIS. Click on the HRIS you want to integrate with from the list or use the search field to find your desired integration.Select-HRIS.png
  4. Now it's time to authenticate your account either via the integration's website (recommended when available) or using your API key or email and password. If you choose the latter option, the HRIS connector modal will guide you to where to find your API key. When you're done, click Next.

    You can only have one active HRIS integration at a time in 15Five. Before setting up a new HRIS integration (e.g., switching from ADP to Paylocity), the existing integration must be deactivated. To remove an existing integration, please email support@15five.com for assistance.

  5. Review the data that 15Five can access through the integration, then click Continue.

  6. Enter your HRIS subdomain (most likely the name of your company), then click Submit.

  7. Click Open window to be directed to your HRIS account, where you will authorize the integration with 15Five.

  8. Once the authentication process is complete, you'll see a screen confirming that your integration is set up. Click Finish setup.

  9. You'll be directed back to 15Five to start syncing data. It typically takes 10-15 minutes for data from your HRIS to sync to 15Five, but for larger companies, this process can take up to a few hours. Once the sync completes, you can move to the next tab in this article section to configure your integration.

What data can I sync from my HRIS > 15Five?

With the HRIS Connector, data is automatically synced from your HRIS to 15Five, eliminating manual work and ensuring that information is up-to-date and accurate.

The following data will be synced from your HRIS to 15Five:

Standard information

  • First Name
  • Preferred Name
  • Last Name
  • Email
  • Job Title
  • Location
  • Employee ID
  • Status (Is active Y/N)
  • Hire Date
  • Start Date
  • Manager/Reviewer
  • Termination Date

Demographic data (if enabled)

  • Salary
  • Gender
  • Ethnicity
  • Birth Date
  • Race

Group Types / Groups

  • Departments
  • Divisions
  • Depending on the HRIS, additional group types/groups may be synced by default

You can also use filters to make sure you're bringing the right employees over to 15Five. For example, if you want to exclude by employment status "part-time," then none of your employees who are part-time will come over.

You can include/exclude users using the following filters:
  • Locations
  • Email
  • Employment statuses (Part-time, Full-time)
  • Groups (Departments + Divisions)
  • Department
  • Division name
  • Worker Category

*We already filter out inactive people by default

Will the integration have any costs?

There may be 3rd party costs associated when integrating with specific HRIS systems. Please reach out to your 15Five Account Team or sales@15five.com to inquire about your contract.

Where can I get help to set up my integration?

If you run into questions or need support as you set up your integration with the HRIS Connector, please reach out to our Support Team.

If a person is deactivated in my HRIS, will they be deactivated in 15Five?

Yes. Changes made to employees in your HRIS will push to 15Five within 24 hours during your automatic sync.

How often does data sync from my HRIS > 15Five?

Data is synced every 24 hours, at 1 AM UTC.

Can I have more than one HRIS connected?

No. At this time only one connection can exist at any given time.

What do I do if I need to change which HRIS is connected?

The current HRIS will need to be disconnected before a new one can be connected. To remove an existing HRIS integration, please contact our support team with the request.

How do I disconnect the integration?

At this time the integration cannot be disconnected in-app. To remove an existing HRIS integration, please contact our support team with the request.

How will the integration handle employees who are marked as on a leave of absence in my HRIS?

15Five can customize whether employees marked as on a leave of absence are left active in 15Five, or if they are deactivated when syncing via the HRIS Connector. Please contact your CSM or our support team to set this up.
