How to assign 1:1 coaching sessions to managers 🧑💻
Action Plans in 15Five are strategic plans that HR teams use to organize and measure the work you're doing to improve HR outcomes (employee performance, engagement, and/or retention) in your organization. Each Action Plan comprises a set of actions: manager tasks that contribute to the plan's progress and success over time. In this section, we'll walk through how to assign 1:1 coaching sessions to managers as part of an Action Plan.
Note
Before following the steps below, follow the steps to create an Action Plan.
- Click on Outcomes Dashboard in 15Five's main, left-hand navigation.
- Next, open the "Action Plans" tab and click on the name of the Action Plan you want to add coaching to.
- Click the Add Actions button.
- The "Add action to action plan" form will appear on the left-hand side of your screen. From here, select "Coaching Session" as the action type.
- On the next screen, you'll see "Schedule a 1-on-1 Coaching Session" as the action title. This field isn't editable.
- Then select a focus area for the coaching session. These focus areas are based on 15Five's Manager Competencies. If you don't select a focus area, Action owners will have the option to do so when they schedule the coaching session.
- We recommend using this field to let managers know why they were selected for coaching and what success looks like.
- Select the start date on which the action should appear on the Action owner's homepages and the due date by which the Action owner should schedule their coaching session.
- Now it's time to select the individuals you want to assign 1:1 coaching to. By default, managers of people in the Action Plan's target group will be automatically assigned. However, you can edit the assignments using the following options:
Add additional Action ownersBy default, the managers of people in the Action Plan's target group are automatically selected as Action owners. However, you can easily add anyone in your organization as an Action owner by clicking into the search bar and typing the person's name.
You can also use the "All managers" Quick Assign option to assign the action to all managers in your organization (not just those who are managers of people in the Action Plan's target group!).
Remove an Action ownerBy default, the managers of people in the Action Plan's target group are automatically selected as Action owners. However, there may be times when an action isn't relevant to a specific individual. In this case, you can remove that person as an Action owner by clicking the X to the right of their name.
Tip
As you assign actions, managers with direct reports in the Action Plan's target group are clearly designated by stars displayed to the right of their names.
- Click Next: Preview to open the action summary. Review the information contained in the summary to ensure that the action is configured correctly.
- When you're ready, click Add actions.
From the “Manage actions” page, leaders can create, manage, and track actions for their teams— streamlining task management and providing organization-wide clarity on priorities. You can use this tool to assign one-off 1:1 coaching sessions to managers.
- Click Home in 15Five's main, left-hand navigation.
- Open the 'Manage actions' tab at the top of the page.
- Click Create bulk actions in the top, right-hand corner of the screen.
- The "Create bulk actions" form will appear on the left-hand side of your screen.
- Provide an optional action description. We recommend using this field to let managers know why they were selected for coaching and what success looks like.
- Select the date by which the manager should schedule their coaching session. If no date is selected, the action will continue to appear on their Action List until they schedule the session, but will not appear as overdue.
- Now it's time to select the individuals you want to assign 1:1 coaching to. Everyone in your organization will appear in this dropdown menu.
Tip
Once you select one Action owner, a Summary will appear at the bottom of the form that you can use to see how many people you've assigned the action to.
- When you're done, click Assign Actions.
- A confirmation message will appear. Click Yes, create actions.
What happens next? 🐾
Once you assign the 1:1 coaching session(s), selected managers will receive two forms of notifications: an action item and an email.
Selected managers will see an action item on their homepage asking them to schedule the coaching session. If the coaching session was assigned as part of an Action Plan, it will not appear on manager homepages until the selected start date.
Selected managers will receive an email informing them they were selected for coaching and asking them to schedule their session. It will look something like this:
Subject: 15Five Coaching Sessions Assigned
Note
In the example above, "This will really help with building team spirit." will be replaced with the description you provided when creating the coaching action.
Managers will then take the following steps:
- Schedule the session
- Add session details
- Complete their coaching profile
- Attend the coaching session on the selected day and time
