Adding people to 15Five is a key step in getting your team up and running—and we make it easy. Whether you're syncing through an integration like 15Five's HRIS Connector, uploading a CSV file via bulk import, or adding new users one-off, this article walks you through each option step-by-step.

How to Add People to 15Five 🧑‍💻

There are three ways to add people to 15Five: by syncing from an integration, uploading a bulk import CSV, or adding individuals one at a time. Use the dropdowns below to explore each option in detail.

🔁 Using an integration

There are several ways to automatically manage people in 15Five using an integration with your existing systems:

  • 🌟 HRIS Connector [Recommended]: Connect your company's HRIS to 15Five for automatic, daily syncs of employee data. This setup provides transparency into what data is being synced and ensures your org chart stays current with minimal manual effort. Learn more →

  • SCIM: Use SCIM to automate user provisioning and deprovisioning through identity providers, including Azure AD, Google Workspace, Okta, and OneLogin.
  • SSO: Automatically create users in 15Five when they log in through your identity provider (Just-in-Time provisioning). Learn more →
  • SFTP: Transfer employee data to 15Five securely on a scheduled basis using an SFTP integration. Learn more →
📥 Bulk import

Account admins can import new users or update existing ones using a CSV file via our bulk import tool.

  1. Click People in 15Five's main, left-hand navigation.

  2. Open the "Import" tab using the top navigation.

  3. You’re now on the bulk import page, which lists all fields manageable via CSV. Review the table and formatting rules carefully before creating your CSV to ensure proper formatting and content. For questions about specific columns, check the FAQs at the bottom of this article.
  4. Download your company's current employment structure by clicking the Download current structure button at the top of the page.

    Tip

    We suggest downloading two copies of your current structure: one to make edits to and upload, and another to keep in a safe place for re-upload in case any unintended changes are made.

  5. Prepare your bulk import CSV. The only required column is your Employee Identifier (email or employee_id). If you're updating employee settings via bulk import, be sure to include columns for each field you want to modify.

    Note

    Make sure the Employee Identifier (employee ID or email) shown at the bottom of the page matches the identifier you used in your CSV file. If it doesn’t, you can update your organization's default identifier. Learn how →

  6. Upload your CSV. Click Choose file at the bottom of the import page and select your saved CSV (must be in UTF-8 CSV format).

  7. On the Preview import screen, review the pending changes. If something looks off, click Start over in the bottom-left corner to cancel the import and return to the bulk import page.

  8. [Optional] If you want new users to receive an invite email right away, check the box next to "Send invite email to all in bulk import." If you leave it unchecked, you can manually send invite emails later when you're ready for them to access the platform.

  9. Click Finish import. Depending on the size of your CSV, it may take up to 15 minutes for the import to complete.

  10. Once complete, updates will appear in 15Five:
    • If you sent invite emails, new users will show up under "Pending invitations" in the Invited tab of the Manage People page.
    • If not, they’ll appear under "Created people." To send invites, follow the steps in our "Send an invitation to a created person" article.
👤 One-off
  1. Click People in 15Five's main, left-hand navigation.

  2. Click Add a person in the top, right-hand corner of the screen.

    Note

    If your company is integrated with a user management software, you may not see this option. Please refer to the integration-specific article for steps on how to add someone to 15Five.

  3. Use the form to fill in details for the individual you want to add to 15Five. The only required fields are "First name," "Last name," and "Email."
  4. If you want the new user to receive an invite email right away, check the box next to "Send invite email." If you leave it unchecked, you can manually send an invite email later when you're ready for them to access the platform.

  5. Confirm user settings, then click Save or Save and add another.

    Tip

    If you see an error that says "User with this email already exists," it means the email is already linked to an existing 15Five account. In this case, you may just need to reactivate the person’s account.

  6. This person will now appear in 15Five.
    • If you sent an invite email, the new user will show up under "Pending invitations" in the Invited tab of the Manage People page.
    • If not, they’ll appear under "Created people." To send an invite, follow the steps in our "Send an invitation to a created person" article.

Things to Keep in Mind 🧠

  • 💰 Billing for invited users: 15Five will not charge for created or invited users unless they’ve been assigned a billed seat. Otherwise, you will not see a charge until they accept their invitation and log into 15Five.

    Billing for new users is prorated based on the activation date and the time left in your current subscription period. Learn more about how adding users impacts billing →

    Note

    Account admins may choose to assign billed seats to invited users whom they want to include in engagement surveys created before those users have logged into 15Five. This ensures the individuals are eligible to participate, even if they haven’t accepted their invite.

  • 🔢 Invitation limits: If a maximum user limit is set in company settings, you’ll see an error when trying to add users beyond that limit. To resolve it, you can either deactivate unused accounts or increase your company’s maximum user limit.
  • 📧 Invite emails: If you selected the option to send invite emails when adding users, they’ll be sent immediately. If not, you can send them when you’re ready for users to access 15Five. Learn how →
  • ⌛️ Expired invites: Invites expire after 30 days. If an invite expires, you can easily resend or reset it. Learn how →
