15Five's Start Date field allows you to add people to 15Five now and delay their access until a specific date in the future, ensuring employees can only access 15Five when it's the right time. Whether you’re onboarding new hires or planning a phased rollout, start dates help ensure a smooth experience giving you time to configure account settings or set up review cycles or engagement campaigns before employees have access to 15Five.

Note

The start date is the day you want a person to be able to log into 15Five (and, if you select the option to send out invite emails automatically, the day you want them to receive the invitation). This date does not have to be their start date with the company.


How to set a start date for an employee 🧑‍💻

How you add a start date for an employee depends on the method you're using to add new users to 15Five. You have three options: using an HRIS integration, via bulk import, or one-off.

HRIS integration

To set a start date for employees using an integration, ensure the "start date" field in your HRIS is populated with the dates you want employees to receive invitations to 15Five, then run a sync between your HRIS and 15Five. The "start date" field is supported for all integrations connected using our HRIS Connector.

Bulk import
  1. Click the 'Settings' gear in the top right-hand corner of 15Five.

  2. Select 'People' from the dropdown menu to open the 'Manage people' page.

  3. Click to open the 'Import' tab in the top navigation bar.

  4. You’re now on the bulk import page. From here, download your company's current employment structure by clicking the Download current structure button at the top of the page.

    Tip

    We suggest downloading one copy of your current structure to keep in a safe place for re-upload in case any unintended changes are made when you upload your CSV, and downloading a second copy to make edits to. You can then upload the edited CSV. You only need to include new users in your bulk import CSV. You can delete the rows for active users.

  5. Now it's time to create your bulk import CSV. Be sure to include the start_date column in your CSV file and populate that column with the dates you want employees to receive their invites.
  6. When you're ready, click Choose file at the bottom of the screen and find the CSV from your computer that you would like to import. Please note: the file you upload must be in UTF-8 CSV format.

  7. A "Preview import" screen will appear. Review the changes to be made. If the changes aren't what you want, click the Start over button in the bottom, left-hand corner of the page to stop the import and be redirected back to the bulk import page.

  8. If you want new users to receive an invite email, check the box next to "Send invite email to all in bulk import."

    You can customize the subject line and body of the invite email using the steps in our "Customize the content of invite emails" article.

  9. Click Finish import. Depending on the size of your CSV, it may take up to 15 minutes for the import to complete.

  10. Once the import is complete, updates will be reflected in 15Five.
    • If you selected the option to send invite emails, newly-added people will appear in the "Inactive" tab of the Manage People page under "Pending invitations." This means the invite email has been sent but not accepted, or is scheduled to send on their start date.
    • If you didn't select the option to send invite emails, individuals will appear in the "Inactive" tab of the Manage People page under "Created people." This means they're not scheduled to receive an invite email. To invite them, follow the steps in our "Send an invitation to a created person" article.
One-off
  1. Click the Settings gear in the top right-hand corner of 15Five.

  3. Click Add a person in the top, right-hand corner of the screen.

    If your company is integrated with a user management software, you may not see this option. Please refer to the integration-specific article for steps on how to add someone to 15Five.

  4. Use the form to fill in details for the individual you want to add to 15Five. The only required fields are "First name," "Last name," "Email," and "Start date."

  5. Select whether or not you want the person to receive an automatic welcome email on their start date. If you don't select this option, you can manually send them an invite email at a later date by following the steps in our "Send an invite to a created user" article.

  6. Confirm user settings, then click Save or Save and add another.

  7. This person will now appear in 15Five.
    • If you selected the option to send them an invite email, they'll appear in the "Inactive" tab of the Manage People page under "Pending invitations." This means the invite email has been sent but not accepted, or is scheduled to send on their start date.
    • If you didn't select the option to send them an invite email, they'll appear in the "Inactive" tab of the Manage People page under "Created people." This means they're not scheduled to receive an invite email. To invite them, follow the steps in our "Send an invitation to a created person" article.

Frequently Asked Questions (FAQs) ❓

When do invite emails get sent out?

Invite emails go out at 8 AM in the employee's timezone on their start date.

Can I update a person's start date?

You can update the start date until the start date; afterward, the person will already have access to 15Five. Once you add a start date you cannot remove it. You can update it, but it still must be a date in the future.

What if I already added someone into 15Five but they haven’t signed in yet? Can I add in a 15Five start date?

No. Start dates can only be added during the process of adding people to 15Five, regardless of whether they have signed in or not.

Once I input a 15Five start date and add someone, where can I find that date in 15Five?

Start dates are displayed on users' account settings pages. In addition, if you export a report containing all employee information, the CSV will have a 'Start date' column (so long as at least one person has a start date).

I input a start date for the person, but I didn’t check the box to send the email invite. How do I ensure they receive an invitation?

To send an invite email, follow the steps in our "Send an invitation to a created user" article. Invitations expire after 30 days. If needed, you can reset invitations by following these steps.

How do I enable this from a SCIM perspective?

For SCIM, all of the functionality will live in the IDP; the attribute to use is startDate.
