Set a start date when adding an employee via bulk import

Use a bulk import CSV to add employees with a start date, controlling when they gain access to 15Five and when they receive an invitation email.

Before You Begin

  • You need access to the Manage people page.
  • Your CSV file must be in UTF-8 format.
  • The start_date column must be included in your CSV before upload.

Steps

  1. Click the Settings gear in the bottom-left corner of your 15Five account.
  2. Select People from the dropdown menu.
  3. Click the Import tab in the top navigation bar.
  4. Click Download current structure to download your current employee list.
  5. Open the downloaded CSV and delete rows for existing active users.
  6. Add a start_date column if one is not already present.
  7. Populate the start_date column with the date each employee should receive access.
  8. Save the file in UTF-8 CSV format.
  9. Click Choose file at the bottom of the Bulk import page.
  10. Select your edited CSV from your computer.
  11. Review the Preview import screen to confirm the changes are correct.
  12. To stop the import, click Start over in the bottom-left corner.
  13. To proceed, check Send invite email to all in bulk import if you want invites sent automatically.
  14. Click Finish import.

Import processing can take up to 15 minutes depending on file size.

After the Import

Once complete, check the Inactive tab on the Manage people page:

  • Pending invitations — the invite email was sent or is scheduled to send on the employee's start date. This appears when you selected the invite email option.
  • Created people — the employee was added but is not scheduled to receive an invite. This appears when you did not select the invite email option.

To invite a created person manually, follow the steps in .

If Something Goes Wrong

Issue Check Fix
Import fails immediately Confirm the file is saved as UTF-8 CSV, not Excel format Re-save the file as CSV UTF-8 and re-upload
start_date column not recognized Confirm the column header is exactly start_date (lowercase, underscore) Rename the column and re-upload
Preview shows unintended changes Review rows included in the CSV Click Start over, correct the CSV, and re-upload
Import takes longer than 15 minutes Check file size and row count Contact 15Five support with the file details
