Options for Best-Self Review® reporting

Reporting on a Best-Self Review® cycle is important throughout. While the cycle is running, progress reports are extremely important to ensure nominations and reviews are being submitted on time. As a cycle is coming to a close, reporting on results becomes the focus. This article walks you through all reporting options for a review cycle, during and after. You may find it helpful to review the roles in Best-Self Review® also.

Progress downloads 

Progress downloads are important to review administrators as they help to understand the progress that is being made in a review cycle. Additionally, these progress downloads can be pulled after the cycle end date, and even after the cycle is locked. 

Start on the Overview page for a review cycle. There is a 'Download' button at the top right of your Overview page. This 'Download' button includes a 'Full progress report', a 'Peer nomination status' download, a 'Participants progress tracker' download, and a 'Review writers progress tracker' download. Each of these four downloads is explained in detail below. 

  • Full progress report

    • The full progress report provides review administrators and cycle collaborators with a full progress report for the cycle at hand including all participants, participants' managers, peers for the participant, review submission status for all reviews regarding the participant, all questions and answers that were asked in each review regarding the participant including company values and competencies, and private manager assessment answers. This download is lengthy and is considered the most extensive of all the reports for a Best-Self Review. 
    • Use cases: keep this report on file as a final report for the cycle's progress, use this report to export all questions and answers plus submission dates of reviews, utilize this report before locking a cycle to check on the progress of everyone's reviews
    • This report can be pulled anytime after the cycle start date, even after the cycle is locked.
  • Peer nomination status

    • The peer nomination status download provides review administrators and cycle collaborators with a list of all nominated peers for all participants including nominated peer count, who the peer was nominated by, nomination status (approved/denied, accepted/declined, removed), and submission time stamps for all submitted peer reviews.
    • Use cases: use this download to understand how many peers a participant has nominated, use this download to understand how many times someone at your company has been nominated as a peer for someone else (use the 'Peer Reviewer name' column and sort), use this download as a cycle collaborator to know which managers need help managing peers for their direct reports, use this download as a review administrator to nudge managers or peers to take action
    • This download can be pulled anytime after the cycle start date, even after the cycle is locked, as long as peer reviews are included in the cycle.
  • Participants progress tracker

    • The participants progress tracker download provides review administrators and cycle collaborators insight into what reviews have/haven't been written of each participant. In this download, the focus is on the participants and not on on the people responsible for writing the reviews. The participants progress tracker includes participant names, participants' managers, unsubmitted/submitted self reviews, unsubmitted/submitted peer reviews, unsubmitted/submitted manager reviews, unsubmitted/submitted upward reviews, share & finalize status, and shared date. 
    • Use cases: use this download to reach out to participants or their manager and check on review progress, get updated on whose reviews have yet to be shared and finalized, or kept as a master list of all participants and the people responsible for writing reviews about those participants
    • This download can be pulled anytime after the cycle start date, even after the cycle is locked.
  • Review writers progress tracker

    • The review writers progress tracker download provides review administrators and cycle collaborators insight into what reviews people still need to write. Review writers may or may not be participants themselves; this download gives a full list of anyone that needs to write a self, manager, peer, or upward review about a participant. In this download, the focus is on the people responsible for writing a review and not on participants. The review writers progress tracker includes name of review writer, review writers' managers, total reviews submitted/total reviews due progress, unsubmitted/submitted self reviews, unsubmitted/submitted peer reviews, unsubmitted/submitted manager reviews, and unsubmitted/submitted upward reviews.
    • Use cases: use this download to reach out to people who still need to write and submit reviews, use this download to reach out to managers who need to write manager reviews for their direct reports participating in a cycle, use this download to track overall progress of all reviews that need to be written (use the 'Review progress' column)
    • This download can be pulled anytime after the cycle start date, even after the cycle is locked.

Results downloads

As reviews are submitted and results are shared & finalized, the results pages will begin to populate. All participants have a 'My results' page. Managers whose direct reports are participating in the cycle have a 'Team's results' page. Review administrators have a 'Company's results' page. You can learn about all the options for results downloads below. 

On the Team's and Company's results pages, there are two download options. The 'Download company CSV/XLSX' is a single download that includes all information that you see on your By competency page. The 'Download participants CSV/XLSX' is a compressed file that includes all submitted review information for each participant as its own separate file.

Starting on the 'My results' page, which all cycle participants have. 

  • 'My results' tab download

    • On the 'My results' page, there is a download option to the right of the participant's information. The 'My results' tab download yields the same information, regardless of whether you are on the Summary page, Questions & answers page, or Competency assessment page. This download provides participants with a full download of all questions and all submitted answers that were answered by others about them- aka these are the participant's results. Answers included in download are pulled from self, manager, peer, and/or upward reviews. If peer or upward feedback is anonymous, review writer identities will not be included in the results download.

    • Use cases: use this download to keep a copy of all questions and answers regarding your performance, use this download to help set work or personal objectives for the coming quarters, use this download to in your future compensation conversations with your manager

    • This download can be pulled anytime after your results have been shared and finalized, even after the cycle is locked. 

'Team's/Company's results' tab

Navigate to the 'Team's/Company's results' page and then double check that you are on the 'By participant' tab. Time to check out the download options for my team/company.

  • Participant's results download

    • This report can be pulled anytime after results have been shared with the participant, even after the cycle is locked.

If you click the ... to the right of any private manager assessment question on the 'Team's/Company's results' page, you will see the option to View all answers. After clicking View all answers, you end up on a page that shows the overall stats for the question and a full list of all participants who had this question answered about them on a manager review. You can do this for all of the private manager assessment questions. Below is an explanation of each summary and detail download for PMA questions and answers. 

  • Individual reviews downloads

    • Use cases: managers can use these downloads to keep copies of their direct reports' review results, review administrators can use this download to create baselines for participants, review administrators can use this download to have follow up meetings with low performing participants (if needed) 
    • This report can be pulled anytime after results have been shared with the participant, even after the cycle is locked.
