This article covers how Meeting Assistant handles meeting capture and transcripts.
Direct Answer
We never store recordings, only transcripts, and transcripts are encrypted, kept for 30 days, and never accessible to HR, managers, or employees.
Key Rules
- We never store recordings, only transcripts. Transcripts are encrypted and stored for 30 days for quality assurance. Transcripts are never accessible to HR, managers, or employees.
- No one can access transcripts, in the 15Five app or through the 15Five MCP.
- Meeting Assistant prep never reads transcripts.
- Kona Notetaker is visible in the call.
- Any participant can pause Kona Notetaker or type "Kona leave" to remove it from that meeting.
- In Zoom, Kona Notetaker uses live captions when they are on. When captions are off, it asks in the chat for permission to record.
- If recording permission is denied, Kona Notetaker says so in the chat, and no notes are made.
- If the host has disabled recording, Kona Notetaker posts a notice in the chat.
- Nothing Meeting Assistant writes is sent during the meeting.
Common Misunderstanding
Meeting Assistant itself is not in the call. The only in-meeting presence is Kona Notetaker, and only when Kona Notetaker is the company's meeting source.
