No meeting notes after a 1-on-1

This article resolves the symptom where a covered 1-on-1 ended and no Meeting Assistant notes appeared.

Diagnose

Work through the checks in order.

  • Check: Meeting Notes is turned off → An admin opens Manage > Settings on the Meeting Assistant card and finds What Meeting Assistant delivers to users. → If Meeting Notes is unchecked, go to Fix 1. → If checked, continue.
  • Check: Kona Notetaker did not join → For a company using Kona Notetaker, confirm it joined the call. → If it did not join, see Kona Notetaker did not join a 1-on-1. → If it joined, continue.
  • Check: Kona Notetaker was paused or removed for the whole call → Ask both participants whether anyone paused it or typed "Kona leave." A phone dial-in or meeting-room device also pauses Kona Notetaker. → If true, go to Fix 2. → If not, continue.
  • Check: Zoom recording permission was denied → For a Zoom meeting, check the meeting chat. When Zoom captions are off, Kona Notetaker asks for permission to record. If permission is denied, Kona Notetaker says so in the chat and no notes are made. If the host disabled recording, Kona Notetaker posts a notice in the chat instead of asking. → If either is true, go to Fix 3. → If not, continue.
  • Check: Google Meet transcripts and AI notes were off → For a company using Google Meet as its meeting source, confirm transcription or AI notes were on for that meeting. The meeting itself still syncs, but Meeting Assistant needs a transcript or AI notes to write notes. → If both were off, go to Fix 4. → If either was on, continue.
  • Check: The meeting was in person → Confirm the meeting had a video link. Meeting Assistant does not support in-person meetings. → If in person, go to Fix 5. → If not, continue.
  • Check: The meeting is not a manager and direct-report 1-on-1 → Meeting Assistant skips group meetings and other 1-on-1s. → If it is another meeting type, go to Fix 6. → If not, continue.
  • Check: Notes are in 15Five but not in Slack or Teams → Open the 1-on-1 in 15Five. → If the notes are there, go to Fix 7. → If not, go to If It Still Fails.

Fix

Fix 1: Meeting Notes is turned off

  1. Ask an admin to open Manage > Settings on the Meeting Assistant card.
  2. Check Meeting Notes under What Meeting Assistant delivers to users.
  3. Save your changes.

Fix 2: Kona Notetaker was paused or removed

  1. At the next meeting, leave Kona Notetaker running.
  2. Join from a computer instead of a phone dial-in or room device.

Fix 3: Zoom recording permission was denied

  1. In Zoom, go to Settings > In Meeting (Advanced).
  2. Turn on Manual captions.
  3. If Kona Notetaker asks for recording permission, grant it.

Fix 4: Google Meet transcripts and AI notes were off

  1. Ask your Google Workspace admin to turn on Meet transcription or AI notes.
  2. Turn on transcription or AI notes in each 1-on-1 meeting.

Fix 5: The meeting was in person

  1. Hold the next 1-on-1 on a Zoom, Google Meet, or Microsoft Teams call.

Fix 6: The meeting is not a manager and direct-report 1-on-1 No fix is needed. Meeting Assistant covers only 1-on-1s between a manager and their direct report.

Fix 7: Notes did not reach Slack or Teams

  1. Ask an admin to install the 15Five app for Slack or Microsoft Teams.
  2. Turn on that channel in your notification settings.

What Resolution Looks Like

After the next covered 1-on-1, notes with takeaways, wins, blockers, and suggested actions appear in the 1-on-1 in 15Five. They also arrive in each channel the person turned on.

Not Covered Here

This article does not cover notes that arrived but look thin. Notes leave out personal topics and small talk. They do not include agenda items that were not discussed. When Google Meet sends only a summary, notes reflect that summary.
