How does adding or removing people impact billing?

When you add or remove people in 15Five, billing depends on how many paid seats you have and whether a person occupies a billed seat. 15Five always fills empty paid seats first, and charges for additional seats only when your active or billable headcount exceeds the seats you already purchased.

Key Rules

  • New people fill unoccupied paid seats first. If you have purchased seats that are empty, new billable people fill those seats at no additional charge.
  • Extra seats are charged only when you exceed your paid seats. If the number of new people exceeds available seats, the extra seats are billed for the remainder of your subscription period.
  • Additional seats are prorated, not charged for the full term. Proration is based on the activation date and the time left in your current subscription period. Prorated charges are billed on your monthly anniversary date.
  • Deactivating or unmarking a seat does not free up money. Your account keeps the unoccupied seats for the remainder of the subscription. 15Five does not offer refunds or credits for people deactivated mid-subscription.

Adding people to 15Five

A “new person” for billing purposes is anyone who becomes newly active or billable:

  • A person who was invited and has accepted their invitation.
  • A person manually activated by an account admin.
  • An inactive user who is marked as billable.

New billable people fill your purchased-but-unoccupied seats first. If the number of new people exceeds the available seats, the additional seats are charged for the remainder of your subscription period. Instead of a full-term charge, each additional seat is prorated based on its activation date and the time remaining in your current subscription period, and billed on your monthly anniversary date.

Adding people for engagement surveys

To participate in an engagement survey, a person must first be added to 15Five and must occupy a billed seat.

  • Active users automatically fill billable seats.
  • Inactive users must be marked as using a billed seat before they can participate.

You can mark inactive users as billed in bulk from Manage People > Inactive by selecting Change seat status from the Actions dropdown, or individually from a person’s profile by selecting the Billed seat checkbox in the upper-right corner. When you add a billable user, you are charged for their seat according to the proration rules above.

After a person is added, is using a billed seat, and you complete a sync from 15Five > Engage, they appear in the Engage Portal. Removing people from 15Five

When people are deactivated or marked as not billable, your account keeps the additional unoccupied seats for the remainder of the subscription. 15Five does not offer refunds or credits for people deactivated during your subscription. Empty seats are always filled first before any additional seat is charged.
