Kona never stores recordings, only transcripts. It uses the meeting's live captions when it can, and if captions are off, it asks in the meeting chat for permission to record. Transcripts are encrypted and stored for 30 days for quality assurance. Transcripts are never accessible to HR, managers, or employees.
Kona joins 1-on-1 meetings as a visible participant and captures structured notes and action items from the conversation. In most scenarios, Kona works by reading meeting captions provided by your conference platform β it does not need to record the call.
Zoom: Kona uses Zoom's live captions when it can. For the smoothest experience, turn on Manual captions in Zoom (Settings > In Meeting (Advanced)). If captions are off, Kona asks in the meeting chat for permission to record. If recording is denied, Kona says so in the chat and no notes are made.
Exception β Google Meet and Microsoft Teams: If meeting captions are disabled in your conference platform, Kona falls back to a secondary method that requires recording the call. The meeting host must be present to grant recording permissions.
If neither captions nor recording are enabled, Kona joins the meeting but captures nothing β no notes, no action items. The meeting proceeds normally, but no summary is generated.
Platform Requirements
Each conference platform handles captions and recording differently. Enable at least one of the following for Kona to capture notes.
