The HR Business Partner (HRBP) role lets an HR partner support performance reviews for a specific set of people. It doesn't give full admin access. This article covers what HRBPs can see and do in Reviews, and what they can't do.
Feature Structure
The HRBP role
An Account Admin assigns the role on the Roles tab of the Manage permissions page, and chooses who each HRBP covers. See Assign HR Business Partner (HRBP) Role.
Someone can't be both an HRBP and an Account Admin or HR Admin.
Who an HRBP covers
An HRBP can cover any mix of:
- By Groups: everyone in a group.
- By Managers: a manager's direct reports.
- By Hierarchy: everyone under a manager, including their direct reports' direct reports and so on.
Coverage stays current. When people change groups or managers, the HRBP's access updates right away.
Every HRBP gets the same set of access. To change what an HRBP can see, change who they cover.
What HRBPs see in a review
HRBPs can read these parts of a review for the people they cover only.
| Part of the review | What the HRBP sees |
|---|---|
| Self review | Self review results, once submitted |
| Manager review | Manager review results, once submitted |
| Peer and upward feedback | Peer review results, once submitted, and upward review results for managers they cover. Answers show together on one page, grouped by question. Each answer shows the writer's name if the cycle's peer or upward identity setting allows it. |
| Private manager assessment | Private manager assessment answers for the people they cover. Never answers about themselves. |
| Team results | Team results for the people they cover. |
| Cycle export from the Overview page | The people they cover only |
| Export from Team results | The people they cover only |
When an HRBP is reviewed in a cycle, they see their own review only as a regular participant, with no added visibility.
Review cycles
HRBPs can create and run review cycles, but only with the people they cover as participants. They can also see cycles other people created, once the cycle has started and includes at least one person they cover. In those cycles, participant lists, progress and results show only the people they cover. HRBPs can't see draft or upcoming cycles that someone else created.
| What an HRBP can do | Which cycles or people |
|---|---|
| Create a review cycle | Only the people they cover can be participants |
| Delete a cycle | Only cycles they created |
| See a cycle someone else created | Running or ended cycles that include at least one person they cover. They see only the people they cover. |
| Track progress and completion | The people they cover only |
| Download the full progress report | The people they cover only |
Participants, peers and calibrations
HRBPs can do the following in any review cycle that includes people they cover, including cycles someone else created. Their access applies only to the people they cover, except where noted.
- Participants: remove their people from a running cycle, until it ends or is locked. They can't add people after a cycle launches.
- Individual settings: adjust per-person cycle settings for their people.
- Peers: view, add, approve, decline and remove peer reviewers for their people.
- Calibration setup: turn on calibrations for a cycle, and create calibration sessions for the people they cover. They can add only the people they cover as session participants or contributors, and can't add themselves as a contributor. From inside a session, they can also edit, copy, delete and lock it.
- Viewing calibrations: see sessions that include at least one of their people, or where they're a contributor. They see only their own people's rows unless they're a contributor, and never their own row. They can comment on any session they can see, until the session or cycle is locked.
- People attributes in calibrations: the HRBP role doesn't unlock any attributes. HRBPs see an attribute's value only if that attribute is visible to Everyone, or is visible to the person's hierarchy and the HRBP is one of that person's managers. Otherwise the value is hidden. Each attribute's own visibility setting decides this, and there's no HRBP option in that setting.
- Changing calibration ratings: only as a contributor on that session, after the manager review deadline, and before the session or cycle is locked.
