A manager did not receive meeting prep

This article resolves the symptom where a covered manager did not receive Meeting Assistant prep for a 1-on-1.

Diagnose

Work through the checks in order.

  • Check: The calendar connection is not approved β†’ An admin confirms setup did not stop at "Almost there, waiting on approval." Prep cannot run until the calendar request is approved. β†’ If pending, go to Fix 1. β†’ If approved, continue.
  • Check: Meeting Prep is turned off β†’ An admin opens Manage > Settings on the Meeting Assistant card and finds What Meeting Assistant delivers to users. β†’ If Meeting Prep is unchecked, go to Fix 2. β†’ If checked, continue.
  • Check: The manager is outside the covered audience β†’ An admin goes to Manage > Settings > Audience. β†’ If the manager is not included, go to Fix 3. β†’ If included, continue.
  • Check: There was nothing to prepare from β†’ Look at the prep message for this 1-on-1. With no activity at all, prep says "Not enough activity to prep." β†’ If it says this, go to Fix 4. β†’ If not, continue.
  • Check: The person expecting prep is the direct report β†’ Meeting prep goes to the manager only. β†’ If the direct report expected prep, go to Fix 5. β†’ If not, continue.
  • Check: The prep arrived somewhere the manager did not look β†’ Prep arrives at 8am local time on the day of the 1-on-1. It also appears on the upcoming 1-on-1 page, in the Meeting Assistant card, on the Meeting prep tab. β†’ If the prep is there or in another channel, go to Fix 6. β†’ If not, go to If It Still Fails.

Fix

Fix 1: Calendar connection pending

  1. Ask your calendar workspace admin to approve the request.
  2. Confirm setup no longer shows "Almost there, waiting on approval."

Fix 2: Meeting Prep is turned off

  1. Ask an admin to open Manage > Settings on the Meeting Assistant card.
  2. Check Meeting Prep under What Meeting Assistant delivers to users.
  3. Save your changes.

Fix 3: Manager outside the audience

  1. Ask an admin to open Manage > Settings > Audience.
  2. Add the manager, or select a wider audience.
  3. Save your changes.

Fix 4: Nothing to prepare from No fix is needed. Prep has something to prepare from once a 1-on-1 is recorded or the direct report has recent work in connected tools. Connecting more work tools also gives prep more to work from.

Fix 5: The direct report expected prep No fix is needed. Direct reports receive meeting notes after the 1-on-1, not prep.

Fix 6: Prep went to another channel

  1. Open the upcoming 1-on-1 in 15Five.
  2. Select the Meeting prep tab in the Meeting Assistant card.
  3. To get prep in Slack or Teams, turn on that channel in your notification settings.

What Resolution Looks Like

The manager receives one prep message at 8am local time on a day with covered 1-on-1s. The prep also shows on the Meeting prep tab of the upcoming 1-on-1.
