After your admin enables Kona Notetaker for your organization, you may need to link your calendar before Kona can join your 1-on-1 meetings. If your company uses Meeting Assistant, the calendar is connected once for the whole company during setup. Once connected, Kona automatically joins scheduled 1-on-1s without further action from you.
Before You Begin
- Your organization's admin must have enabled Kona Notetaker.
- You need an active calendar connected to your work account (Google Calendar or Microsoft Outlook).
- You must have manager-level access in 15Five.
Steps
- Log in to 15Five.
- Click your profile avatar in the top-right corner.
- Select Settings from the dropdown menu.
- Navigate to the Kona section.
- Click Connect Calendar.
- Select your calendar provider: Google Calendar or Microsoft Outlook.
- Review the permissions requested and click Allow.
- Confirm the connection status shows Calendar Connected.
If Your Admin Already Connected Outlook for Your Organization
When an admin connects the Microsoft Outlook integration for the entire organization:
- Managers receive an invitation to connect with Kona Notetaker. You do not need to manually connect your calendar through Settings.
- Once you accept the invitation, Kona begins joining your eligible 1-on-1 meetings automatically.
- If your calendar status already shows Calendar Connected in your Kona settings, no further action is needed.
Recommended rollout flow (admin-managed Outlook)
- Admin enables Kona Notetaker and connects the Outlook integration for the organization.
- Admin sends 15Five invitations to managers (managers move from "Created" to "Active" status).
- Managers accept the Kona invitation and verify their calendar connection in Settings.
- Kona begins joining eligible recurring 1-on-1 meetings.
If you have questions about whether your admin has connected Outlook for your organization, check with your 15Five account admin.
If Something Goes Wrong
| Issue | Check | Fix |
|---|---|---|
| "Connect Calendar" option is not visible | Confirm your admin has enabled Kona for your organization | Contact your admin to verify Kona Notetaker is active |
| Calendar authorization fails mid-flow | Confirm you are signed into the correct Google or Microsoft account in your browser | Sign out of other accounts, then retry the connection from Step 5 |
| Status does not update to Calendar Connected after approving permissions | Wait 30 seconds and refresh the page | If status remains unchanged, disconnect and reconnect the calendar |
| Kona does not join a scheduled 1-on-1 after connecting | Confirm the meeting is a recurring 1-on-1 between you and a direct report | Verify the meeting appears on the connected calendar and that the direct report is listed correctly in 15Five |
| Admin connected Outlook but Kona still does not join meetings | Confirm you have accepted the Kona invitation and your status is Active (not Created) | Check with your admin that the Outlook integration is fully configured and that your account is included |
