Hold a 1-on-1 meeting

Use the 1-on-1 agenda to manage talking points, action items, and notes during a meeting. When the meeting ends, both participants receive a summary email confirming the session is closed.

Before You Begin

Steps

Access your 1-on-1 agenda

  1. Click 1-on-1s in the left navigation.
  2. Click the name of the person you are meeting with.
Note: If the person does not appear in your list, you must create an agenda first. See Create a new 1-on-1 agenda.

Work with talking points

Talking points are conversation items discussed during the meeting. Either participant can add, complete, repeat, comment on, or delete talking points at any time before or during the meeting.

Add a talking point

  1. Click Add a talking point in the Talking points section.
  2. Type the talking point text and press Enter.

> Note: You can drag and drop talking points to reorder them.

Mark a talking point as complete

  1. Click the checkbox to the left of the talking point.

A checked talking point does not appear on the next agenda. It remains visible on the agenda where it was checked, so past agendas serve as a record. Unchecked talking points carry over to the next agenda automatically, along with any comments or attachments.

Make a talking point repeat

  1. Hover over or click into the talking point field.
  2. Click the repeating icon (circular arrows) that appears.

When a repeating talking point is checked off, a fresh copy appears on the next agenda — without comments or attachments. An unchecked repeating talking point rolls over with all comments and attachments intact.

Comment on a talking point

  1. Hover over the talking point.
  2. Click the chat bubble icon to its right.
  3. Type your comment, then click Post comment.

Either participant can add comments in the thread. Both participants see all comments. After a comment is posted, the other participant receives an in-app notification and an email notification (if enabled). Comments are not included in the 1-on-1 summary email.

Delete a talking point

  1. Click the trash can icon to the right of the talking point.

Only the person who created the talking point can delete it. If the talking point was created from your homepage, deleting it here also removes it from your homepage.

Work with action items

Action items are tasks to be completed between this meeting and the next. The Previous action items section shows incomplete items from past agendas. The New action items section accepts new items until the meeting is ended.

Add an action item

  1. Click Add an action item in the New action items section.
  2. Type the action item text and press Enter.

Action items you add are assigned to you by default. You can reassign them to the other participant.

Reassign an action item

  1. Click the avatar to the left of the action item text field.
  2. Select the other participant's name.

Once reassigned, you cannot edit the action item. To edit it, reassign it back to yourself, make your changes, then reassign it again.

Mark an action item as complete

  1. Click the checkbox to the left of the action item.

A checked action item does not appear on the next agenda. It remains visible on the agenda where it was checked. Unchecked action items appear under Previous action items on the next agenda, with comments and attachments intact.

Comment on an action item

  1. Hover over the action item.
  2. Click the chat bubble icon to its right.
  3. Type your comment, then click Post comment.

Either participant can add comments. Both participants see all comments.

Take notes

The Notes section has two areas.

Shared notes

Shared notes are visible to both participants. They are included in the summary email and can be edited at any time, even after the meeting has ended.

  1. Click the Shared notes field and type your notes.

Private notes

Private notes are visible only to the person who wrote them. They are not included in the summary email.

  1. Click the Private notes field and type your notes.

End the meeting

  1. Click End 1-on-1 when the meeting is complete.

See End a 1-on-1 meeting for the full procedure, including what is locked after ending and what the summary email contains.

What Success Looks Like

The meeting is ended when the agenda displays the ended state and both participants receive a summary email. The New action items section locks — no new items can be added to this agenda. Shared notes remain editable. Checked talking points and action items no longer appear on the next agenda.

If Something Goes Wrong

Issue Check Fix
Person not listed on My 1-on-1s page Confirm a 1-on-1 agenda exists between you and that person Create a new agenda. See Create a new 1-on-1 agenda.
Cannot delete a talking point Confirm you are the person who created it Only the creator can delete a talking point — ask the creator to delete it
Cannot edit a reassigned action item Confirm the action item is currently assigned to the other participant Reassign the action item back to yourself, edit it, then reassign it
Repeating talking point appears without previous comments This is expected behavior — checked repeating talking points create a fresh copy No fix needed; comments from completed instances remain on the prior agenda
Comment not triggering a notification Confirm the other participant has email notifications enabled Direct them to their notification settings or contact your admin
