Kona Notetaker: Feature Overview

Kona Notetaker automatically joins 1-on-1 meetings between a manager and their direct report in Zoom, Google Meet, and Microsoft Teams. It captures notes, identifies action items, and surfaces performance data in the 15Five 1-on-1 workflow.

Note: Kona Notetaker is also the recommended meeting source for Meeting Assistant, an agent in the Agents Hub. If your company uses Kona today, nothing changes now. From Monday, October 12, 2026, admins can move their Kona setup to Meeting Assistant and pick up meeting prep.

Required access: Kona add-on. Available on Perform and Total Platform pricing packages. Roles: Account Admins, Managers.

Feature Structure

Kona Notetaker has two configuration layers:

  • Admin setup β€” Enables Kona for the organization, assigns access to managers and/or HR admins, and sets the default join behavior (auto-join all eligible 1-on-1s, or let each manager decide).
  • Manager setup β€” Each manager completes their own onboarding via a Flow of Work invite, connects their calendar, and (if the admin selected "Let managers decide") chooses which recurring 1-on-1s Kona should join.

Only 1-on-1 meetings between a manager and their direct report are eligible for Kona Notetaker. Indirect-report 1-on-1s are not eligible.

What Kona Notetaker does

Kona Notetaker attends scheduled 1-on-1 meetings and performs the following:

  • Captures notes and action items in real time
  • Delivers a post-meeting summary to the manager and direct report via email and/or Slack
  • Writes captured notes and action items directly into the 15Five 1-on-1 Agenda
  • Provides a continuous performance record to support review writing
Note: Kona never stores recordings, only transcripts. Transcripts are encrypted and stored for 30 days for quality assurance. Transcripts are never accessible to HR, managers, or employees. See Kona privacy and transcript retention for retention details.

Supported Platforms

Google Meet Yes Yes (Kona pause, Kona start, Kona leave) Email and/or Slack
Microsoft Teams Yes Yes (Kona pause, Kona start, Kona leave) Email only

Key Rules

  • Kona requires a valid calendar integration on both the admin and manager accounts to detect and join meetings.
  • bot@15five.com must be included as an attendee in the calendar invite for Kona to join.
  • The meeting invite must contain a virtual meeting link (Zoom, Google Meet, or Teams).
  • Kona does not support in-person meetings. A virtual meeting link is required for Kona to join and capture notes.
  • If a meeting starts late or is rescheduled, use the Send Kona to 1-on-1 button in the 1-on-1 in-app view or the Slack homepage.
  • Notes and summaries are visible only to the manager and direct report who were in the meeting. If a participant adds a suggested action to the 1-on-1's action items, anyone who can see that 1-on-1's action items can see it, such as a global viewer with 1-on-1 access.
  • Kona accepts input in multiple languages, but all output β€” notes, feedback, action items, and summaries β€” work best in English. Other languages are supported, though accuracy may vary depending on the language and transcription quality.
  • If no one joins the meeting, Kona leaves after approximately 12 minutes.
  • Third-party notetaker apps that appear as a calendar participant count toward the two-participant limit and will prevent Kona from joining. Passive or local notetakers that do not appear as participants work alongside Kona without conflict.
