Admins can assign billed seats to invited users, making them eligible for engagement survey participation without requiring them to log in or accept their invitation.
Before You Begin
- You must have access to Engagement and the HR Outcomes Dashboard.
- Billing for billed seats is prorated from the date the seat is assigned. See for details.
Method 1: Manage People Page
Use this method to assign billed seats to multiple users at once.
- Go to People in the left-hand navigation.
- Click the Invited tab.
- Check the box to the left of each user to assign a billed seat.
- Click Actions.
- Select Change seat status from the dropdown.
- Confirm Set to billed is selected in the popup.
- Click Change status.
Method 2: Individual Account Settings
Use this method to assign a billed seat to a single user.
- Go to People in the left-hand navigation.
- Click the Invited tab.
- Click the name of the person whose seat status you want to change.
- Check the Billed seat box in the upper-right corner of the person's settings page.
- Click Save.
What Success Looks Like
After completing either method, the user's seat status updates to Billed on the Invited tab. The user now appears as eligible when adding participants to upcoming or active engagement surveys.
If Something Goes Wrong
| Issue | Check | Fix |
|---|---|---|
| Change status button is grayed out or unavailable | Your account may have reached its billed seat limit | Contact your 15Five account owner to review your subscription seat cap before reassigning |
| User does not appear in survey participant selection after status change | Confirm the seat status column on the Invited tab shows Billed | If it still shows Unbilled, repeat Method 1 or Method 2 and confirm you clicked Save or Change status |
| Invited tab is empty | The user may have accepted their invitation and moved to Active status | Go to People > Active and locate the user — active users occupy billed seats automatically |
