Managers can use Kona Coach with Microsoft Teams by scheduling a meeting in Outlook and adding the Kona bot as a participant. After the meeting, Kona delivers notes and coaching insights to the manager by email.
Before You Begin
- Your admin must have completed Kona Meeting Assistant setup and granted you Kona access.
- Confirm you have an Outlook calendar connected to 15Five (your admin configures this during setup).
Steps
Schedule the meeting
- Open Outlook and create a new calendar event.
- Set the meeting time at least 5–10 minutes in the future.
- Add your direct report as a participant.
- Add bot@15five.com as a participant.
- Click Add online meeting to include a Microsoft Teams link.
- Send the invite.
During the meeting
- Join the Teams meeting at the scheduled time.
- Allow Kona to join — it appears as a standard participant named Kona.
- Proceed with your 1:1. Kona takes notes in real time.
> Kona grants one-time recording permission — you will not receive repeated prompts. There are no in-meeting chat commands available in Teams.
After the meeting
- Check your email inbox for a post-meeting summary from Kona.
The summary includes meeting notes, detected management behaviors, and personalized coaching insights. Pre-meeting nudges and monthly insights also arrive by email.
If Something Goes Wrong
| Issue | Check | Fix |
|---|---|---|
| Kona did not join the meeting | Confirm bot@15five.com is on the invite and a Teams link is included | Reschedule with both the bot and a Teams link present |
| Kona joined but the meeting has no Teams link | Review the calendar invite for a valid Teams conferencing link | Edit the invite to add Add online meeting, then resend |
| No post-meeting summary received | Check your email inbox, including spam and junk folders | If the email is missing after 30 minutes, contact your 15Five admin or 15Five Support |
| Kona waited but no one joined | Kona waits up to 12 minutes after the scheduled start time, then leaves | Reschedule the meeting; Kona will join at the updated time |
