Account Admins and Managers can update an employee's account settings to control personal information, group membership, manager assignments, Check-in frequency, engagement survey participation, and access to manager enablement tools. Changes are saved per section and take effect immediately.
Before You Begin
- Account Admins can edit settings for any employee. Managers can only edit settings for people in their direct hierarchy.
- Fields that appear greyed out are synced from an HRIS integration and must be updated in the HRIS. See .
Steps
- Click People in the left-hand navigation.
- Use the search bar or filters to find the employee.
- Click the employee's name to open their account settings page.
- Make your changes in the relevant section.
- Click Save at the bottom of the section.
Settings Reference
The following sections appear on an employee's account settings page.
Personal Information
Basic personal details for the employee:
- Avatar
- First name
- Last name
- Hire date (core attribute)
- Termination date
- Preferred name
- Pronouns
- Job title (core attribute)
- Career path
- Employee ID
- Password
- Location (core attribute)
- Timezone
Fields marked with an asterisk are core attributes. Core attributes power reporting and strategic insights across 15Five. Populate them for all employees. See .
Private Attributes
Private attributes are visible to HR Admins only. They organize people data for filtering, reporting, and analysis.
- High-Potential: Marks an employee as high potential. Use the checkbox to enable this designation.
- Demographic attributes (Birth Date, Ethnicity, Gender, Race, Salary): Read-only in account settings. These fields appear only if enabled in your account. Populate them via bulk import CSV or your HRIS integration. See Enable and configure Demographic Attributes.
Additional Information (Custom Attributes)
Assign custom attribute values to the employee. Custom attributes track company-specific data such as certification level or role level.
Account Settings
Check-in Frequency
- Check-in Frequency: Sets how often the employee is prompted to submit a Check-in — weekly, bi-weekly, or monthly. The employee can follow a custom, group, or company-default frequency. See Check-in frequency settings — overview.
- Check-in Due Day: Sets the day of the week the Check-in is due.
- Next Due Date: Sets when the next Check-in is due. This field appears only when frequency is set to bi-weekly or monthly.
Group Membership
- Group(s): Shows the groups the employee belongs to. Add or remove groups from this field. Groups control question delivery, visibility, and reporting across features including Engagement, Objectives, and Best-Self Review®. See Understand group types and groups in 15Five.
Managers and Review Viewers
- Direct Manager: The employee's primary manager. This person reviews Check-ins, leads 1-on-1s, and manages performance reviews.
Note: Manager loops are not permitted — no one can manage their own manager's manager.
- Additional Manager: A default additional manager who can write manager reviews for this employee across all review cycles. See Assign a Default Additional Manager via Account Settings.
Cycle-specific additional managers can also be added separately. See Assign a Cycle-Specific Additional Manager.
- Best-Self Review® viewers: Individuals who have permanent visibility into the employee's past, present, and future reviews. Useful for skip-level managers or cross-functional leads. See Add or remove a review viewer for a participant.

Manager Enablement
- Transform Access: Grants the manager access to 15Five's on-demand course library. See Access On-Demand Manager Training Content.
- AI Coach — Kona Access: Grants the manager access to Kona, 15Five's AI-powered coaching assistant. See Invite a Manager to Kona Coach via Account Settings.
Engagement Survey Permissions
- Receive engagement surveys: Controls whether the employee receives engagement surveys. Uncheck to exclude them from all surveys. Individuals can also be excluded one-off during campaign setup. See Globally exclude an individual from all engagement campaigns.
- Visibility to Engagement results: Determines which engagement survey results the employee can access. Options include role-based and custom visibility. See [Update engagement survey results visibility in employee account settings].
Export Employee Data
Download a record of the employee's performance and goal-related activity. Use these exports for offboarding, audits, or internal reviews.
- Best-Self Review®: Exports the employee's results for all review cycles they participated in. Cycle-specific CSVs are delivered by email.
- Objectives: Generates a CSV of all Objectives and Key Results the employee has owned. You receive an email when the export is ready.
If Something Goes Wrong
